Account Inquiry Payment Maintenance |
Once Payments are posted to an account, Account Inquiry provides quick access to some Payment Maintenance tasks. Reverse Payment, Payment Change, Transfer Payment, Payment Receipt and Payment Quick View. Also See Account Inquiry Payment Maintenance Tutorial and Related Topics.
To Navigate To Account Inquiry, Go To: Account Inquiry Navigation
Note: Credit Card Payments cannot be reversed through Account Inquiry.
- Right click on a payment in the Invoice Details grid.
- Reverse Payment window will open.
- Select Date. Payment will affect the current open period, not the period the payment was originally posted.
- Amount will populate with the original payment amount, but can be modified.
- Enter Note for future reference.
- Click Reverse.
- Confirm Reversal message.
- Message Prompt will be received. Would you like to create a NSF charge against this customer?
- Click Yes to create an NSF charge or No to ignore.
- If you clicked yes, Add/Modify Miscellaneous Transactions window will open with the Customer/Site & Date already populated.
- Select Code, enter Unit Rate, Quantity and Description.
- Click Save & Exit.
- Account will now include an Unbilled Miscellaneous Transaction for the NSF.
- Invoice Details grid will now display the Reversed Payment.
- Right click on the payment in the Invoice Details Grid.
- Select Payment Change.
- Change Payment Type window opens.
- Select Payment Type from drop down.
- Enter or Modify Reference.
- Enter Note.
- Click Ok.
- Invoice Details will now update to include the changed Payment Type and Reference.
Note: Payments can be transferred to an Invoice for the same account or an Invoice for a different account.
- Right click on the payment in the Invoice Details grid.
- Select Transfer.
- Enter details for the Transfer To:
- Customer can be entered or search & selected or enter Invoice #.
- Amount from original payment will default in the Amount field. Amount can be modified.
- Enter Note. Note will be stored with the transfer payment from and to.
- Verify Invoice List.
- Click Transfer.
- Confirm transfer message.
- Invoice Details will now display Transfer To and Transfer From details.
Hover over a payment in the Invoice Details grid to view the entry User, Date and Reference of the Original Payment, Transfer Payment (From or To), or Reversed Payment.
- Right click on a payment in the Invoice Details grid.
- Select Reprint/Email Receipt.
- Select Print or Email.
- Receipt will be generated with customer and payment details.
